PickUpee ("we", "us", or "our") operates the PickUpee mobile application and web platform (collectively, the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service.

1. Information We Collect

1.1 Account Information

When your sports club administrator creates accounts, we collect:

  • Coaches: Name, username, phone number
  • Parents: Name, username, phone number
  • Kids: Nickname (first name only), PIN code for login, date of birth (optional, managed by club admin only)
  • Club Administrators: Name, email address, organization name

1.2 Information Collected Automatically

When you use the mobile app, we automatically collect:

  • Device tokens: Firebase Cloud Messaging (FCM) tokens for delivering push notifications
  • Device information: Device type and operating system version
  • Usage data: App interactions, login times, and feature usage

1.3 Pickup Coordination Data

To provide our core service, we process:

  • Pickup and drop-off schedules
  • Pickup location names and addresses
  • Ride status updates (scheduled, in progress, completed, cancelled)
  • Notification logs related to pickup coordination

2. How We Use Your Information

We use the collected information for the following purposes:

  • Providing and operating the pickup coordination service
  • Sending push notifications about ride status updates (coach nearby, schedule changes)
  • Authenticating users and managing access by role (coach, parent, kid)
  • Enabling coaches to contact parents via phone for pickup coordination
  • Improving our service and developing new features
  • Responding to customer inquiries and support requests

3. Children's Privacy

PickUpee is designed for use by sports clubs where children participate. We take children's privacy seriously:

  • Kid accounts are created by club administrators, not by children themselves
  • We collect only the child's nickname (not full name) and a numeric PIN for login
  • The kid interface is limited to viewing their own pickup schedule and signaling readiness
  • Date of birth may optionally be recorded by the club administrator for age-group management; it is not visible in the mobile app
  • We do not collect or store children's personal photos, email addresses, or location data
  • Parents can request deletion of their child's data at any time

4. Data Sharing and Third Parties

We do not sell your personal information. We share data only in the following circumstances:

  • Within your club: Coaches see the kids and parents assigned to their runs. Parents see their own children's schedules.
  • Firebase (Google): We use Firebase Cloud Messaging to deliver push notifications. Google's privacy policy applies to this service.
  • Legal requirements: When required by law or in response to valid legal process.

5. Data Security

We implement appropriate security measures to protect your information:

  • Authentication tokens (JWT) are used for secure API communication
  • Passwords are hashed and never stored in plain text
  • Kid PINs provide simplified but secure access appropriate for children
  • All data transmission uses encrypted connections (HTTPS)

6. Data Retention and Deletion

We retain your personal information for as long as your account is active or as needed to provide the Service. When a club administrator deactivates or deletes an account, associated personal data is removed from active use. You may request complete deletion of your data by contacting us at the email address below.

  • Request suspension of data processing
  • Withdraw consent for push notifications at any time (via device settings)

8. Push Notifications

PickUpee sends push notifications to inform you about pickup status changes, schedule updates, and important alerts. You can disable push notifications at any time through your device's notification settings. Disabling notifications will not affect your ability to use the app, but you may miss important pickup updates.
